Warehouse selection worksheet

Solar Warehouse Fit Scorecard

Does this warehouse fit your solar equipment, inventory, and delivery schedule? Review the evidence before comparing rates or sending trucks.

Use one review per facility and project. A warehouse can suit one module package or delivery wave and still be unsuitable for another.

Project-specific review

Check the evidence before booking space

Version: October 28, 2026

Score each item: unknown or gap = 0, partial evidence = 1, verified evidence = 2. A verified score also needs an evidence note. All five critical requirements need verified evidence. The total never overrides an unresolved critical requirement.

Entries stay in this page and are not submitted or saved automatically. Download the CSV or print a copy before leaving. This worksheet supports a project review; it does not certify a facility or authorize dispatch.

  1. 1. Product instructions

    Critical requirement

Current handling and storage instructions match the exact equipment and packaging. Record the manual and product references.

  2. 2. Handling equipment and operators

    Critical requirement

The operator confirms equipment capacity, load centre, fork geometry, access, and trained staff for the actual packages.

  3. 3. Storage conditions and space

    Critical requirement

The assigned space meets product requirements for weather protection, floor conditions, stacking, clearances, and the planned peak inventory.

  4. 4. Confirmed receiving capacity

    Critical requirement

Written acceptance covers arrival dates, daily intake, appointments, staff, and an agreed fallback if the schedule changes.

  5. 5. Custody, holds, and release authority

    Critical requirement

Ownership and project allocation stay identifiable. Held stock cannot be released without the agreed authorization.

  6. 6. Inventory identifiers and reports

A sample report preserves original pallet references, quantities, locations, status, and supplier serial mappings where required.

  7. 7. Condition and exception records

The receiving workflow records visible damage, photographs, shortages, held stock, notification owners, and resolution history.

  8. 8. Outbound delivery readiness

Picking lead time and daily releases match the site's receiving capacity and construction sequence. Test a representative release.

  9. 9. Warehouse-to-site transportation

Carrier access, travel time, delivery windows, unloading arrangements, and fallback locations have been checked for the actual move.

  10. 10. Commercial scope and responsibilities

Written scope addresses handling, storage, minimums, release fees, exceptions, and the agreed review of insurance and contractual responsibilities.

Review not started

Evidence score: 0 / 20

Reviewed: 0 / 10

Critical requirements unresolved: 5 / 5

Start with the actual product instructions and ask the warehouse to provide supporting evidence.

How to Use the Review

Gather the exact equipment list, supplier pack dimensions and weights, current manufacturer instructions, arrival forecast, storage duration, and site release schedule. Ask the proposed operator for written evidence against each check. In the notes, record the document, reviewer, unresolved action, owner, and confirmation date.

The 20-point total is an organising tool created by Solar Project Logistics, not an industry benchmark. Unknown and failed items both receive zero points, but retain their distinct status in the export. A critical item marked partial or unknown prevents a booking-ready result regardless of the total. Even a complete review still needs project approval and a confirmed operating scope.

Use the Same Assumptions for Every Facility

Compare facilities against the same equipment, peak inventory, daily intake, release volume, and storage window. Keep required customs or other specialist approvals separate; this worksheet does not replace them. Battery systems and specialized heavy equipment need their own product-specific review.

Use the solar warehousing guide for the full storage plan and compare warehousing quotes after the operating requirements are clear.

Turn an Open Requirement Into a Next Step

If freight is already moving, follow the early-arrival recovery checks. If you are changing providers, use the warehouse-transfer plan before releasing inventory.

Procurement teams can bring the completed review, equipment list, and delivery window to a warehouse-fit planning conversation. Discuss the actual storage and warehousing scope and use the cost readiness checklist to capture remaining budget assumptions. Facility availability and services need confirmation for the project.

The criteria are a planning framework. Product instructions and applicable requirements control the actual handling and storage method.
